Job Description:

Complete all work to a high standard within required time limitsCo-ordination and maintenance of diaries/appointments for all clinical staffAssist in the production of OH monthly reports and statisticsAssist in auditing clinical note input onto GatewayStaff rota and resourcing managementOrdering of consumablesAsset Management and calibration co-ordinationEnsuring that all new starters undergo client specific inductionsSupporting with commercial processes and Application for PaymentsSupport and co-ordination of on-site health and wellbeing eventsAdministrative support to Clinical Account ManagersProduce documents for the management team on an ad hoc basisTaking meeting notes and producing minutes e.g. OH Team Management MeetingGeneral admin including the uploading of clinical notesStationery liaising with the Customer to place orders when necessary. Ensure stock in office is kept to ideal levelsMaintenance of own computer files and emailsTaking telephone messagesReception dutiesAdditional administrative duties for clinical staff as and when requiredUse of multiple databases and internet systems for recording of stats

Essential Skills:

5 x Standard GCSE gradesPrevious administration experience in a similar environmentPossess excellent PC and software skills and abilities, mainly Word, Excel, Power Point, and OutlookHigh level of professionalism to be demonstrated at all timesAttention to detail and ability to prioritise a vast workload are criticalBe self-motivated and demonstrate ability to work using their own initiativeGood customer service skills as majority of role involves liaising with clientsWork as part of the OH team with health professionalsCommunicate with all levels of staff and demonstrate good customer engagement skillsDemonstrate excellent interpersonal skills discretion on confidential medical matters over the telephone, via e-mail and with face to face interactionExcellent time management
